|Challenge||Create a custom app to eliminate tedious management of hand-written reports|
My name is Ryan Brown. I’m the COO at Thompson Security.
We’re a small security firm that’s growing quite rapidly here in Western Washington, in the Greater Seattle area. We handle different types of security, everything from residential security to businesses, to sometimes some private protection, things of that nature.
I run all of the operations from the officer all the way up to the management and keeping track of all of the money, etc. And because we are such a small business, I also end up doing a lot of the IT work and the program stuff, so everything digital is because of me and me building it on Caspio, thankfully.
Some of the challenges I faced before using Caspio was all of our officers do manual reporting. They must report everything they see. Anytime they go anywhere, anything that happens — goes into a report.
Some of the places like here in Seattle, we were still handwriting reports. They can look like chicken scratch and they’d slide them under the door of their managers. At the end of the night, I have to take all of our notes and put them into a spreadsheet and then send them off to a bunch of random emails that change pretty much weekly.
It became tiresome, time-consuming. You couldn’t search anything, so if, you know, a client wanted to get information for a single person or a vehicle or anything like that, I’d have to go back to the reports for hours on end.
I was looking for something that our officers could, across the board, submit easily, preferably on their own phones, that didn’t take up a bunch of data. Preferably, I didn’t have to develop an app or something for it.
I found Caspio, and it gave me all the functionality I needed.
In the beginning, I used the trial period and I created a reporting form so that my officers could all submit a report. Simple. It had pictures. It was wonderful. And then I created another page where they could search that and edit it if they need to.
We’re in the 21st Century. Our clients don’t want handwritten notes slid under the door anymore. They want to be able to log in at any point in time on their cell phones or on their computers. Unless you’re going to hire a full-time programmer, a small business like mine just can’t do it.
I have all of my debt information, searchable, and it’s getting put in just in a very short amount of time. Caspio also has a limited learning curve, so it’s wonderful.
